HarmonyPrime provides music lessons, courses, rehearsals, performance training, and related educational services for children and adults. Lessons are delivered online, in person, or in a hybrid format, depending on availability and student preference.


2. Enrolment

Students under the age of 18 must be enrolled by a parent or legal guardian.

A placement assessment may be used to determine an appropriate learning level and lesson format.

By enrolling in lessons, the parent or student confirms that they have read, understood, and agreed to these Terms & Conditions.


3. Payments

We offer several flexible payment options to support different learning schedules:

  • Pay-per-Lesson: Payment is made in advance of each individual lesson. This option is suitable for occasional lessons or trial sessions.
  • Block Payments (4–12 lessons): Lessons are paid for in advance as a block. This option supports consistent scheduling and may include reduced lesson rates or priority time slots.
  • Monthly Subscription: A fixed monthly payment covering all scheduled lessons within the month. This option supports regular progress and guarantees the student’s reserved lesson time.
  • Accepted payment methods: Bank transfer, debit/credit card, PayPal, Stripe, and other approved payment platforms.

Lessons may be paused or suspended if payment is overdue.


4. Cooling-Off Period (Legal Requirement)

In accordance with the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013, new students or parents have the right to cancel enrolment within 14 days of making the first payment.

  • If no lessons have taken place, a full refund will be issued.

  • If one or more lessons have already taken place, the cost of those lessons will be deducted and the remaining balance refunded.

  • Lessons already delivered are non-refundable.

This statutory cooling-off right applies only to the first booking or initial payment and does not apply to renewals, block payments, or ongoing subscriptions.


5. Cancellation & Rescheduling Policy

Lessons may be cancelled or rescheduled with at least 12 hours’ notice.

  • Cancellations made with less than 12 hours’ notice will be charged in full, and no reschedule or credit will be offered.

  • If a tutor cancels a lesson, a replacement lesson or credit will be provided.

Repeated or excessive cancellations may result in a review or adjustment of the lesson timetable to ensure continuity of learning.


6. Ending Lessons (Notice Period)

After the 14-day cooling-off period has passed, either party may end the learning arrangement by providing 4 weeks’ written notice.

All lessons scheduled during the 4-week notice period must be paid in full, whether attended or not.
(This ensures that the reserved lesson time remains protected.)

Any prepaid lessons falling beyond the notice period will be refunded or carried forward by mutual agreement.

This notice requirement applies equally to the parent/student and the school/tutor.


7. Safeguarding and Conduct

All tutors working with children and young people adhere to current UK safeguarding standards, including appropriate training and checks where required.

For online lessons, a responsible parent or guardian must be present in the home for students under 18. The adult does not need to be visible on camera but must be accessible and aware that the lesson is taking place.

Students, parents, and staff are expected to maintain respectful, courteous, and safe behaviour at all times. Disruptive or inappropriate conduct may result in a review of lesson arrangements.


8. Student Progress Records

We maintain attendance records, lesson notes, and progress documentation to support consistent learning and development.

These records allow tutors to plan lessons effectively, monitor progress over time, and provide personalised support aligned with each student’s learning goals.


9. Media & Photography Consent

Photographs or video recordings of students under 18 are collected or used only with prior written consent from a parent or legal guardian via our Media Consent Form.

Consent may specify how and where media is used (for example: internal records, certificates, portfolios, website content, printed materials, or social media).

Consent may be withdrawn at any time without affecting lesson participation. Upon withdrawal, we will cease use and, where reasonably possible, remove or securely delete identifiable media.

10. Data Protection & Privacy

We process personal data in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

11. Refunds

Completed lessons are non-refundable. Once a lesson has taken place, the fee is considered earned.

Prepaid lessons falling outside the notice period may be refunded or credited by agreement.

For monthly subscriptions, any refunds or credits are calculated based on the number of lessons already delivered within the billing period.


12. Changes to These Terms

HarmonyPrime reserves the right to update these Terms & Conditions to reflect operational, service, or legal changes.

The most current version will always be published on our website, with the latest revision date shown at the bottom of the page.
